2.Information We Collect
We collect information in two ways: information you give us directly, and information collected automatically when you use our website.
Information You Provide Directly
When you book a session, engage our coaching services, or contact us, you may provide:
- Name, email address, and phone number
- Professional background, career history, and job search goals shared during coaching sessions
- Documents you share as part of the coaching process, such as resumes, cover letters, LinkedIn drafts, and other career materials
- Session notes and content from our coaching conversations
- Communications sent to us via email or other channels
- Payment information — processed directly by Stripe and not stored by us (see Section 5)
Information Collected Automatically
When you visit truenorthcareerpartners.com, we may automatically collect:
- Basic usage data such as pages visited and time spent on the site, collected through Vercel Analytics. This data is anonymized and does not use cookies or track you across other sites.
- If Google Analytics is enabled in the future, it will collect additional usage data including approximate location, browser type, and referring pages. This will be disclosed by updating this policy before implementation.
3.How We Use Your Information
We use the information we collect to:
- Deliver coaching services and manage your engagement
- Schedule and conduct coaching sessions via Calendly
- Record and transcribe sessions using Fathom and/or Spinach, for note-taking and coaching continuity (see Section 6)
- Process payments securely through Stripe
- Communicate with you about your engagement, sessions, and any follow-up
- Send newsletters or career tips via Substack or Mailchimp, if you have subscribed
- Manage client information and workflows internally using Airtable, Google Workspace, and Zapier
- Improve the quality and effectiveness of our coaching services
- Create educational and social media content using anonymized insights. From time to time, themes and challenges that arise in coaching sessions may inspire educational content, social media posts, or other public-facing materials. Any such content uses only anonymized, non-identifiable information — no names, employers, or details that could identify you will ever be included without your explicit written consent.
- Comply with legal obligations
We do not sell your personal information. We do not use your information for advertising or share it with third parties for their own marketing purposes.
4.Legal Basis for Processing (Where Applicable)
Where privacy laws require us to identify a legal basis for processing your personal information, we rely on the following:
Contract performance: Processing necessary to deliver the coaching services you have engaged us for.
Legitimate interests: Processing for internal administration, service improvement, and communications related to your engagement, where these interests are not overridden by your rights.
Consent: For newsletter subscriptions and session recordings, where we ask for your explicit consent before proceeding.
Legal obligation: Processing required to comply with applicable law.
5.Payment Processing
All payment transactions are processed securely by Stripe, Inc. When you make a payment, your payment details — including credit card numbers and billing information — are submitted directly to Stripe and are not stored by TrueNorth Career Partners. Stripe's handling of your payment data is governed by Stripe's own Privacy Policy, available at stripe.com/privacy. We retain records of transaction amounts and dates for accounting purposes.
6.Session Recording and Transcription
With your prior notification and consent, coaching sessions may be recorded and transcribed using third-party tools including Fathom (fathom.video) and/or Spinach (spinach.ai). Recordings and transcripts are used solely for coaching purposes — note-taking, session continuity, and improving the guidance we provide to you. They are not shared publicly or with any third party without your explicit written consent.
Themes and insights from sessions may inform anonymized educational or social media content, as described in Section 3. No identifying information is ever used without your explicit written consent.
These tools operate under their own privacy policies. We encourage you to review them at their respective websites. By continuing to participate in a session after being notified of recording, you consent to recording and transcription for that session.
7.Third-Party Tools and Service Providers
We work with trusted third-party tools to operate our business. Each handles your data only as needed to provide their service to us and is subject to their own privacy policies. The tools we currently use include:
Calendly — Session scheduling. Collects your name, email, and scheduling preferences. calendly.com/privacy

Airtable — Client relationship management. Stores client contact information and engagement details. airtable.com/privacy

Zapier — Workflow automation between tools. May process data as it moves between connected services. zapier.com/privacy

We will update this list if we add or change tools that handle your personal information.
8.Cookies and Tracking
Our website currently uses minimal cookies. Vercel Analytics, which powers our site analytics, is cookieless and does not track you across other websites.
If we implement Google Analytics or other cookie-based tools in the future, we will update this policy and, where required by law, add a cookie consent notice to the site before doing so.
You can control cookie settings through your browser preferences. Disabling cookies will not affect your ability to use our website.
9.Data Retention
We retain your personal information for as long as necessary to deliver our services and meet our legal obligations:
- Client coaching records, session notes, and career documents are retained for the duration of our engagement and for a reasonable period thereafter (generally three years) in case of follow-up needs or disputes.
- Email communications are retained in accordance with our standard Gmail and Google Workspace retention settings.
- Payment records are retained as required for tax and accounting purposes (typically seven years).
- Newsletter subscriber information is retained until you unsubscribe.
You may request earlier deletion of your information at any time — see Section 11.
10.Children's Privacy
Our Services are not directed at children under the age of 13, and we do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected information from a child under 13, we will delete it promptly. 11.Your Rights and Choices
Depending on where you are located, you may have certain rights regarding your personal information. We honor these rights regardless of your location:

14.International Transfers
TrueNorth Career Partners is based in the United States. If you are accessing our Services from outside the United States, please be aware that your information will be transferred to, processed, and stored in the United States, where data protection laws may differ from those in your country. By using our Services, you consent to this transfer.
